AGRÉMENT SOUTH AFRICA ANNUAL QUALITY INSPECTION FOR CERTIFICATE 2011/398 (Revised August 2012): Eco-Construction Building System
 
As we all are aware, the COVID-19 pandemic has catapulted the role of health and safety into the forefront of all activities. The recent Regulations promulgated under the National Disaster Management Act, and the lockdown since 26 March 2020 have encouraged social distancing and virtual meetings, amongst other interventions. In support to limit any form of physical contact, we have resorted to alternative solutions to complete our inspections, and therefore resolved to conduct no site/factory inspections, particularly where virtual inspections are possible. We will conduct the inspections via desktop review and/ or video conference, as far as possible.
 
This letter serves to confirm that a quality inspection will be conducted on 15 November 2021 by means of a desktop review and / or video conference, at 10:00. Should the video conference be deemed necessary after the desktop review, the inspection will commence with an opening meeting to discuss the format of the audit. This will cover the aspects that were not satisfied through the desktop review.
 
The main objective of the inspection is to confirm that there is a satisfactory quality management system is in place and the implementation thereof to ensure the quality of the product during its production/installation. The intention is to be allowed access, through the video, to the manufacturing plant / associated quality assurance facilities and audit quality records against the controls declared in the following documents:
  • Agrément certificate as above (if applicable)
  • A dated Quality Manual
  • Completed inspection questionnaire
  • Quality records.
Mr Gregory Walker will need to (in line with COVID-19 Government Regulations):
  • inform relevant employees about the objectives and scope of the audit
  • appoint responsible members of staff to take us through the audit inspection process
  • provide resources needed in order to ensure an effective and efficient audit process
  • arrange or provide access to the facilities and Quality management records.
Mr Gregory Walker is advised to share Quality management records including the inspection questionnaire, electronically, by no later than 14 November 2021. The inspection will be concluded by an ‘audit-close out meeting’, which will give both parties an opportunity to discuss issues raised during the inspection and to understand / agree any corrective actions. We expect the inspection to be complete within the working day, and therefore request that the entire day be allocate by Mr Gregory Walker for the audit and discussion. If the audit date agreed above cannot be met, Agrément South Africa requires five working days’ notice to allow the audit to be re-scheduled. Failure to do so will result in a cancellation fee being charged.
